OUR SERVICES INCLUDE 

FINANCIAL AND REPORTING SERVICES

We offer accounting services to residential condominiums, homeowner associations, and commercial condominiums:
 
Financial Reporting and Bank Reconciliation
  • We reconcile bank accounts daily, weekly, or monthly as needed and prepare financial statements, such as balance sheets, income statements, and cash flow statements that provide financial information to Association boards, property owners, and other stakeholders. 
  • Those reports include statements of operating and reserve receipts & disbursements, cash account registers, cash disbursement and receipts journals, aged payables and receivables, and general journals and ledgers.
  • Our accountants maintain these financial records for our clients while also assisting independent certified public accountants for annual compilations, reviews, or audits of the financial records.
Budgeting and Expense Management
  • We assist the Association treasurer or finance committee in creating financial plans that forecast income and expenses over a period of time and can assist in establishing reserve accounts. This helps ensure that the operation of the property is within budgetary expectations.
  • We manage expenses such as maintenance costs and insurance premiums, always focusing on the best value possible. 
Payments, Invoicing, and Compliance
  • We provide the day-to-day accounting services necessary to pay Association invoices, including vendor payments and receiving assessments. 
  • We ensure that all Associations comply with all relevant local, state, and federal government regulations. 

FACILITIES MANAGEMENT

Eagle Community Association Managers take pride in providing high quality facilities management, property insurance guidance, and professional document mitigation. Those duties include:
 
Maintenance Management
  • Properties and buildings that are properly maintained help prevent accidents, promoting the safety of members, residents, guests, employees, and vendors.
  • We manage routine maintenance such as landscaping, roof repairs, painting, and janitorial cleaning to ensure vendors and contractors meet and exceed community expectations.
  • We ensure periodic and corrective maintenance such as pest control, irrigation repairs, and light replacements, along with responding to member maintenance requests.
  • We work closely with Boards of Directors on budget concerns and financial planning for scheduled capital replacements of major components and systems.
  • We coordinate and assist in soliciting contracts for needed services with respect to the operation, maintenance, repair, replacement, and preservation of common areas.
  • We can provide weekly property updates regarding maintenance, repair, and upgrades.
 
Inspections and Compliance
  • We work closely with the Health Department to ensure pools and spas are properly permitted, equipped, and tested for the health and safety of users.
  • We coordinate licensed fire safety companies to inspect alarms, fire sprinklers, and fire extinguishers to maintain municipal, state, and fire safety compliance.
 
Insurance and Liability Coverage
  • We assist Boards with gathering quotes and annual renewals from insurance agencies.
  • We maintain appropriate records of all insurance coverage carried by the Association, including current policy information, certificates of insurance, and procurement of loss runs.
  • We retain and engage agents for the Association such as attorneys, accountants, insurance brokers, and other expert professionals.
 
Governing Documents
  • Our Community Association Mangers are knowledgeable of Florida state statute pertaining to community associations.
  • We notify Boards of Directors of all infractions and coordinate with Boards on the enforcement of the governing documents.
  • We ensure compliance with rules and regulations and the governing documents by notifying owners of violations and work with owners to quickly cure violations.
 
Attend Meetings
  • We attend Board of Director, budget, and annual meetings.
  • We process all annual and special member meeting mailings and track member approvals and votes.
  • We professionally prepare meeting agendas, notices, and minutes.
 

OFFICE ADMINISTRATION

Eagle Office Administrators are a team of highly organized, responsive, and efficient individuals who diligently work to ensure the following tasks are accomplished:
 
Application Processing
  • Our office communicates closely with owners, realtors, and Board Directors regarding lease and purchase applications. We process in-house the applications and fees, order background checks, issue estoppel certificates, answer condo questionnaires, and execute certificates of approval.
  • Architectural Review applications are submitted to our office for review and staff communicates with owners and contractors to ensure all supporting documentation meets Association requirements before submitting for committee and Board approval. Our staff takes pride in ensuring owners and contractors comply with Association policies, guidelines, and the governing documents.
 
Mailing
  • Our office prepares and mails as needed assessments, invoices, checks, meeting notices, violation letters, and any other mailing request from the Board of Directors.
 
Additional Office Duties Include
  • Receiving calls and emails from owners and assisting in resolving concerns, issues and processing maintenance request.
  • Preparing draft applications, documents or forms as requested or needed pertaining to statute updates, rule changes or any other necessary revisions.
  • Sending electronic communications to owners pertaining to scheduled property maintenance and important information.
  • Communicating closely with the Property Manager and vendors to ensure valid Certificate of Insurance are on file.
  • Maintaining and updating Association websites, assuring all documents are current and easily accessible to owners.
  • Supporting and providing excellent customer service for our clients by being positive, proactive, knowledgeable, respectful and prompt in delivering services.
